Terms and Conditions Agreement
These Terms and Conditions (“Agreement”) govern the rental and use of the facilities operated by Epic Gatherings Party Venue (“Venue”). By reserving or using the Venue, the renter (“Client”) agrees to the following terms.
1. Reservation and Payment
A reservation is confirmed only after a signed agreement and any required deposit have been received by Epic Gatherings Party Venue. The remaining balance must be paid according to the schedule outlined in the booking agreement. Failure to complete payment may result in cancellation of the reservation.
2. Cancellation Policy
Cancellations must be submitted in writing (email is acceptable). Payments are non-refundable unless a minimum of 72 hours is given to cancel. Rescheduling may be permitted at the discretion of Epic Gatherings Party Venue based on availability.
3. Use of Facility
The Venue may only be used for lawful purposes and in a manner consistent with the reservation agreement. Clients are responsible for the behavior of all guests, vendors, and participants attending their event. Any illegal activity, damage, or unsafe conduct may result in immediate termination of the event without refund.
4. Damages
The Client agrees to be responsible for any damages to the Venue, furniture, fixtures, décor, or equipment caused by the Client, guests, vendors, or event participants. Repair or replacement costs will be charged to the Client.
5. Decorations and Alterations
Decorations may be used only with prior approval from the Venue. Nothing may be nailed, stapled, taped, or affixed to walls, ceilings, or fixtures without permission. Confetti, glitter, open flames, or other potentially damaging items may be restricted.
6. Safety and Conduct
All guests must follow venue rules and staff instructions. The Venue reserves the right to remove any individual behaving in a disruptive, unsafe, or unlawful manner.
7. Liability
Epic Gatherings Party Venue shall not be responsible for lost, stolen, or damaged personal property belonging to the Client, guests, or vendors. The Client assumes responsibility for supervising guests and ensuring the safety of all attendees during the event.
8. Bathroom Accessibility Notice
The Client acknowledges that the restroom facility at Epic Gatherings Party Venue is not wheelchair accessible. Access to the restroom requires a step up to enter and a step down to exit. Due to this structural feature, individuals with mobility limitations may have difficulty accessing the restroom. By renting or attending an event at the Venue, the Client and their guests acknowledge this condition and agree that Epic Gatherings Party Venue shall not be held liable for any injury, accident, or accessibility issue related to the step required to enter or exit the restroom.
9. Indemnification
The Client agrees to indemnify and hold harmless Epic Gatherings Party Venue, its owners, employees, and representatives from any claims, damages, injuries, or losses arising from the Client’s use of the Venue or the actions of their guests or vendors.
10. Compliance with Laws
The Client agrees to comply with all applicable local, state, and federal laws and regulations during the event.
11. Agreement Acceptance
By submitting payment for a reservation, the Client acknowledges that they have read, understood, and agree to abide by these Terms and Conditions.
